Most growing businesses have something that looks like backup. A cloud sync running in the background, files saving to a shared drive, maybe a sense that Microsoft or Google must be handling it somewhere. What they often don't have is a backup they could actually restore from, quickly and completely, on the day it matters most.

Business data backup and recovery is about closing that gap. Ransomware doesn't just lock your live systems; it hunts for connected backups and tries to take those too. A member of staff can delete the wrong folder and not mention it for a fortnight. A platform you rely on can go down or suspend your account with very little warning. The question isn't whether you back up. It's whether the copy you'd reach for in a crisis is clean, recent, and genuinely out of reach from whatever caused the problem in the first place.

  • Cloud and endpoint backup stored in a separate, protected location, so an attacker already inside your network cannot reach or destroy the copy you need to recover
  • Dedicated backup for the platforms most businesses wrongly assume protect their own data, including Microsoft 365 mailboxes, SharePoint, Teams, Google Workspace, and the identity systems controlling who can log in
  • Bundled options that pair backup with email security or archiving, so the tools working to prevent an incident and the tools that help you recover from one are built to work together

Getting this right is less about buying the largest package and more about being honest about what a business would actually lose if recovery became urgent today. The services in this category are built around that question, for businesses that are growing and have more to protect than they sometimes realise.

Cloud/Endpoint Backup — Storage

There's an easy trap in backup: assuming the most recent copy is automatically the safest one. It isn't, if the incident that damaged your data happened before anyone noticed — restoring the "latest" backup in that case just restores the problem too. This is the storage side of your backup service — the cloud capacity that retains data across multiple points in time, not only the single most recent copy, so you can genuinely wind back to before something went wrong, even if it took a while to spot. How much of that history you keep, and for how long, is a balance between what you actually need and what you're paying to retain — we monitor usage against that and flag it before capacity or retention becomes a real constraint rather than a planning conversation.

Google Workspace Backup

The same gap exists on the Google side: Google Workspace's built-in trash and retention windows aren't a substitute for a real, independent backup, whatever the interface might suggest. This service backs up Gmail, Drive and Calendar data independently of Google's own retention settings, so it can still be restored even once Google's own recovery windows have closed, whether the loss was accidental, malicious, or something in between.Permanently deleted mail or files that fall outside Google's own recovery tools are, in practice, gone for good without a separate backup sitting behind them.As with Microsoft 365 backup, we keep coverage aligned to who's actually using Workspace and periodically confirm that restoring from it genuinely works.

Identity Backup (Entra ID)

It's easy to think of "backup" as only being about files and email — but the system controlling who can log in and what they're allowed to access is arguably just as critical, and just as capable of going badly wrong. This service backs up your Microsoft Entra ID configuration — the identity platform, formerly known as Azure Active Directory, that manages user accounts, groups and access permissions across Microsoft 365 and other connected apps — so it can be restored if it's ever accidentally or maliciously changed or deleted.A deleted user group, an altered access policy, or a corrupted configuration here can lock a whole business out of its own systems, and without a separate backup of that configuration, undoing it isn't always straightforward. We confirm coverage is active and periodically verify a configuration restore genuinely works, keeping it current whenever how your accounts or permissions are structured changes.

Microsoft 365 Backup

Here's a genuinely common and costly misunderstanding: Microsoft 365 doesn't come with a full backup by default. Its built-in retention is designed for short-term recovery — a deleted email you catch within a few weeks — not the kind of long-term, ransomware-resilient backup a real incident needs. This service backs up your Microsoft 365 data — Exchange email, OneDrive, SharePoint and Teams — completely separately from Microsoft's own retention settings, so it's genuinely restorable on its own terms rather than dependent on a recovery window that eventually closes.Losing email, files or Teams content to an accidental deletion, a leaving employee, or a ransomware incident can be very difficult, sometimes impossible, to reverse once Microsoft's own retention period has expired. We keep the backup scope current as people join and leave, and periodically confirm a real restore actually works, so it isn't just a job running quietly in the background, unproven.

FAQ

Backup & Recovery questions

Microsoft's job is to keep the platform itself running, not to protect your data from accidental deletion, ransomware, or a staff member who removes something they shouldn't have. Microsoft does retain data for a period, but the windows are shorter than most businesses expect and they don't apply in every scenario. A dedicated Microsoft 365 backup service keeps independent copies of your mailboxes, SharePoint, Teams and OneDrive data on a schedule you control, with restore options that work regardless of what Microsoft's own retention tools happen to hold.

Most ransomware attacks don't stop at your live systems. They look for connected drives, network shares and cloud accounts and try to encrypt or delete those too. Ransomware-resistant backup keeps copies in a separate location with immutability built in, meaning the backup itself cannot be altered or wiped, even by someone with administrator access. When an attack hits, you restore from the clean, protected copy rather than negotiating with a ransom demand or rebuilding from nothing.

Backup is a copy of your data. Disaster recovery is the plan for how you get your business operational again when something serious goes wrong. You need both, but they are not the same thing. A reliable backup gives you the data to work with; a disaster recovery plan tells you how fast you can restore it, which systems come back online first, and who is responsible for each step while that happens. For most small businesses, solid backup is the essential foundation, because no recovery plan works without a good copy of the data to recover from.

It depends on how much data loss your business could absorb. If your team works with information that changes throughout the day, hourly or near-continuous backup is worth considering. If most of your files update weekly, daily backup may be sufficient. The key is knowing your recovery point objective, the furthest back in time you could realistically afford to go, and making sure your backup schedule actually matches it rather than just running on a default setting nobody has reviewed.

Both platforms carry the same underlying risk. Google Workspace, like Microsoft 365, is designed to keep the service available, not to act as your long-term data protection layer. Emails deleted by a staff member, files removed from shared drives, calendar and contact data lost during an account issue: none of these are reliably recoverable through the platform alone beyond a short window. Dedicated backup for Google Workspace gives you independent copies stored on your own schedule, with restore controls that don't depend on Google's retention policies.

The basics to confirm are where your backups are stored, whether they are encrypted both in transit and at rest, how quickly you can restore data when you need it, and whether the backup copies are protected from being overwritten or deleted. Beyond that, cover is only as useful as what it actually includes, so it is worth checking that the services protecting your email, your devices, your cloud storage and your user accounts are all accounted for, rather than assuming one tool covers everything.
