Google Workspace Backup
Your Gmail, Drive and Calendar data stays recoverable even after Google's own recovery windows have closed, so a permanent deletion is not the end of the story.
What you're actually up against
Phishing & Social Engineering
Employees can be tricked into revealing passwords or sensitive information.
Ransomware
Attackers can encrypt business data and demand payment to restore access.
Weak Passwords
Compromised or reused passwords can provide attackers with access to business systems.
Unpatched Systems
Outdated software can contain vulnerabilities that attackers exploit.
Data Breaches
Sensitive customer, employee and business information can be exposed or stolen.
What happens without Google Workspace Backup
Most businesses using Google Workspace assume Google is looking after their data. That assumption is understandable, but it is not correct. Google keeps your data available and running, which is not the same thing as backing it up on your behalf. The built-in trash and retention settings offer a short window to pull something back, but once that window closes, Google cannot recover what was deleted. It does not matter whether the cause was a team member clicking the wrong button, someone leaving on bad terms and clearing out their account, or a ransomware incident that corrupted or wiped files before anyone noticed. Without an independent backup sitting outside Google's own systems, that data is gone. For a growing business where emails, contracts, project files and calendar records are core to how you operate, that is a significant and preventable risk.
What you'll get once Google Workspace Backup is in place
- Independent backup of Gmail, Google Drive and Calendar data, stored outside Google's own infrastructure and retention settings
- The ability to restore data even after Google's native recovery tools can no longer help, whether the loss happened hours or months ago
- Coverage that stays aligned to who is actually using Workspace as your team grows or changes, so no active user falls through the gap
- Restore testing on a regular basis, confirming the backup is usable when you need it, not just that it is running in the background
- A clear recovery path for common real-world scenarios, including accidental deletion, a departing employee clearing their account, and ransomware-related data loss

Google Workspace Backup questions
Google keeps your data available and maintains its platform, but it does not provide a traditional backup service on your behalf. The trash folder and certain admin-level recovery tools offer a short window to retrieve something deleted, but once that window has passed, Google cannot restore it. An independent backup service fills the gap by capturing your data continuously and holding it outside Google's own retention schedule.
Once something is permanently deleted in Google Workspace and Google's own recovery period has passed, it is not retrievable through the standard admin tools. With an independent backup in place, you have a separate copy of that data held outside Google's systems, so you can restore the specific file, email thread or calendar entry without recovering everything else around it.
Deleting a Workspace account removes the user's data from Google's active systems. If that happens before a backup has captured the content, or after Google's short recovery window has closed, the data cannot be retrieved through Google alone. With a backup service running, that content is held independently and can be restored even after the account itself is gone.
Ransomware primarily targets files that can be encrypted or deleted, and cloud-connected storage like Google Drive is not immune if a device that syncs to it is compromised. Files can be overwritten or corrupted before the attack is noticed. A backup held independently of your Google environment means you have a clean copy to restore from, rather than restoring the encrypted or damaged version.
If your team works primarily in Google Workspace, most of your business data lives in Gmail, Drive and Calendar rather than on local hard drives. A device backup captures what is stored on the machine itself, but it will not capture data that lives entirely in the cloud. The two solutions cover different things and work best together.
